QB Systems

QB Systems LLC · Flushing, New York

Your systems should agree with each other.

QB Systems connects the accounting, banking, payroll and payment systems you already run, and keeps the data moving between them clean, reconciled and reportable. We integrate what you have. We do not sell you a platform to replace it.

Five systems, one figure, zero variance. That is the whole job.

Systems we connect

  • QuickBooks
  • Xero
  • Sage Intacct
  • NetSuite
  • Stripe
  • Square
  • ADP
  • Gusto
  • Plaid
  • Shopify
  • Salesforce
  • Bill.com
  • SFTP and CSV
  • and whatever else has an API or a file

01 · The problem

In most small finance teams, the integration layer is a person.

They export, reformat and rekey, because two systems that ought to agree do not. It works, right up until the business grows, the person takes a holiday, or a figure quietly stops matching. You already know the symptoms.

  • 01Close waits on a spreadsheet only one person knows how to rebuild.
  • 02Two systems report the same figure and neither of them is wrong.
  • 03A bank feed stopped on Tuesday and nobody found out until close.
  • 04Reporting arrives three weeks after the period it describes.
  • 05Growing means hiring another person to move data between screens.

None of these need a new platform to fix. They need the systems you already own wired together properly, and pipelines that prove their own figures before anyone relies on them.

02 · What we do

Integration first. Software only where it earns its place.

The bulk of our work is moving data between systems and making it trustworthy when it arrives. Where a gap genuinely needs code, we build the smallest thing that closes it.

How QB Systems moves data between your systemsFour source systems — accounting package, bank and card feeds, payroll and HR, and CRM, portals and files — feed a pipeline that normalises, reconciles and publishes the data to the general ledger, a data warehouse and reporting.Accounting packageBank and card feedsPayroll and HRCRM, portals, filesQB SYSTEMS PIPELINE01NormaliseOne shape, one calendar02ReconcileProve it ties out03PublishPost, store, reportGeneral ledgerData warehouseReportingSOURCESDESTINATIONS
Every pipeline we build reconciles before it publishes. If the figures do not agree, the run stops and you hear about it that morning — not during close.

03 · What we don't take on

A short list, said plainly, so nobody wastes a week finding out.

Multi-year platform builds
Ground-up ERPs and large custom platforms. If that is genuinely what you need, we will tell you on the first call and point you somewhere better suited.
Rip-and-replace projects
We are not going to tell you to throw out the accounting package your team already knows. Nine times out of ten the fix is to connect it properly.
Consumer products and marketing sites
Our work sits behind the scenes: financial, operational, internal. Front-of-house product is a different craft and someone else's.
Bodies on a sprint board
We take responsibility for an outcome under an agreed scope, rather than renting you an engineer by the hour and leaving the risk with you.

04 · Why us

A small firm is the right size for this work.

Large integrators price and staff for enterprises. Freelancers leave when the contract ends. We sit deliberately in between: senior engineers, small engagements, and the discipline that financial systems require.

The engineer you meet is the engineer who builds
No handoff from the person who scoped the work to a team you never spoke with. Engagements stay small enough that the people in the assessment are the people writing the code.
Fixed scope and fixed price, phase by phase
Each phase is quoted and agreed before it starts. You are never asked to approve an open-ended hourly budget against a problem nobody has finished defining.
Your systems, not ours
We build on the accounting package and bank you already use. No proprietary platform, no licence you cannot leave, no data we hold hostage. Source code and documentation are yours.
Correct before clever
Financial code has one job: produce the right number, provably, every time. Reconciliation and audit trails are part of the build, not a phase-two ambition.

05 · How it runs

Five phases. Four of them fit inside a week.

Most engagements are finished inside a week. The sequence is the same whether it is one integration or a run of them, each phase is priced before it starts, and you can stop after any of them and keep everything produced in it.

Next step

Start with the assessment.

A day or two, fixed price, and a written map of where the manual work sits in your business. Yours to keep, whether or not we build anything.
